Privacy Policy
Last updated: 20 October 2026
OT for Kidz ("we", "us", "our") is a children's occupational therapy service based in Dublin, Ireland. We take the privacy of the children and families we work with seriously. This policy explains what personal data we collect, why we collect it, how we keep it safe and what rights you have under the General Data Protection Regulation (GDPR) and the Irish Data Protection Acts 1988–2018.
Who we are
The data controller is OT for Kidz, run by Katie Coffey, Occupational Therapist (CORU registered). If you have any questions about this policy or your data, please contact us at admin@ot4kidz.ie or call 089 432 5711.
What information we collect
When you contact us or use our website form: your name, email address, phone number and the content of your message.
When your child attends our service: your child's name, date of birth, contact details for parents or guardians, and information about your child's health, development, education and needs. This may include reports from schools, GPs, the HSE or other professionals, assessment results, therapy notes and written reports.
Information about a child's health is "special category" data under GDPR. We only process it where it is needed to provide occupational therapy, on the basis of providing health care (Article 9(2)(h) GDPR) and, where appropriate, your explicit consent.
When you visit our website: our website is hosted by Squarespace, which may collect basic technical information such as your IP address, browser type and the pages you visit, using cookies. See "Cookies" below.
How we use your information
To respond to your enquiry and arrange appointments.
To assess your child and provide occupational therapy.
To write reports and, with your consent, share information with schools, the HSE or other professionals involved in your child's care.
To manage invoices and payments.
To meet our legal and professional obligations, including CORU record-keeping requirements.
To send you news and updates, only if you have opted in. You can unsubscribe at any time.
Legal basis
We process personal data to take steps at your request before entering into a contract and to deliver our services (contract), to meet our legal and professional obligations (legal obligation), for our legitimate interest in running our service safely and well, and where you have given consent (for example, marketing emails or sharing reports with third parties).
Who we share information with
We never sell your information. We only share it:
with other professionals, schools or services involved in your child's care, with your consent;
with trusted service providers who help us run our service, such as our website host (Squarespace), email and practice-management providers, who process data on our behalf under appropriate contracts;
where we are required to by law, including under Children First child-protection obligations.
Some of our service providers may store data outside the European Economic Area. Where this happens, we make sure appropriate safeguards are in place, such as the European Commission's standard contractual clauses.
How long we keep your information
Enquiries that do not lead to an appointment are deleted within 12 months. Clinical records are kept securely for as long as required by CORU guidance and Irish health-record retention standards. For children, this is generally until their 25th birthday (or 26th birthday if they were 17 when treatment ended). Records are then securely destroyed.
How we keep your information safe
We use password-protected, access-controlled systems and secure storage for paper records. Only people who need your information to provide our service can access it.
Your rights
You have the right to access the personal data we hold about you or your child; to ask us to correct it; to ask us to delete it (subject to our legal record-keeping obligations); to restrict or object to how we use it; to data portability; and to withdraw consent at any time. To use any of these rights, email admin@ot4kidz.ie. We will respond within one month.
If you are unhappy with how we handle your data, you can complain to the Data Protection Commission at www.dataprotection.ie.
Cookies
Our website uses cookies that are needed for it to work, and may use analytics cookies to help us understand how visitors use the site. You can control or delete cookies in your browser settings.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
